CLUB MEMBERSHIP

This club membership software has 6 programs. Programs slots 6, 7 and 9 are free for adding new programs.

Members Screen

The members screen, shown below, records member information. There is an option to include two pictures. Only one is active. By clicking the hammer icon, you would be able to modify the screen: resize it, add or remove fields, move fields around, change fonts, colors, dimensions, link the screen to other files, add your own programming instructions.

This screen has three cross-references. A cross reference allows you to view other files while the member screen is open.

Clicking 'Activities Attended by Current Member' shows this cross-reference:

The third cross-reference, Other Members in the City, is a list of members who live in the city of the current(ly shown) member. Every time you select a customer, you should refresh this cross-reference.

This cross-reference may be useful, for example, if some members are interested in car-pooling to/from the activity venue.

Each screen can have up to nine-cross references. It is up to you to activate them, specify the files and the records to show.

Club Activities

Here is the screen for recording club activities. Fields in white background are entered. Fields in peach background are automatically retrieved from other fields or when [Get Contact Details and Computer Total Resources] is clicked. You must click this command before [Create] or [Modify].

There is a section for recording the resources and costs. You may add to or remove items to suit your needs.

The cross-reference, List of Attendees, shows the booking status.

List of members includes hobbies and identifies those interested in hiking:

Booking Members

Booking members for activities is recorded using the Activity Attendance screen.

To assign the next record key prior to creating the record, click inside the attendance number field.

Select an activity number from the list. The type and description are automatically filed in.

Next, select the member number from the list. For casual attendees, you may assign 99999 as a notional member. The name is automatically filled in.

Next, enter the number attending, i.e. members plus guests.

Then click [Get Activity Info, Member Info and Compute] to get or compute the following: all, member fee, total fee, sex, age, address and contact numbers.

Select the payment status.

If recording for the first time, click [Create]. If record already exists, click [Modify] to apply the changes.

Feedback may be entered after the activity.

There are three cross references. The first details the current (10011) activity:

The second shows the bookings:

The third shows info from past hiking activities. Comments from previous hiking activities should help.

To find out how this third reference is created, click the hammer icon of the activity attendance screen:

The designer panel is displayed. Click [Past Activities Attendance] so that the grid/cross reference details are shown on the panel.

Then click the [Grid Creator] button to display the list of files:

Then click [Continue] to show the grid specifications:

The cross-reference selects all records from Club Activity Attendance File; those for  activity type as the current record's: hiking.

At the same time, records for the current activity are excluded.

Then the list is sorted by ascending last and first names.

Sample Report

To find out how to create your own reports, go to the report manager. Look for sample report 1108 - List of Members.

To view the report, click [Print/View] and then the report.

When this screen comes up, click [Notepad] to use this program to view the report.

GenRe uses Wordpad, Word, Notepad and Excel to print reports.

To figure out how to create or update reports, review the Creating Reports link (home page).

Aside from creating more cross-references, you may also create enquiry screens with statistical summaries, reports, charts and mail-merge letters, to name a few, to build on this basic system.
