AR Analysis

 

The accounts receivable analysis provides on-demand aging report and computes a couple of financial ratios.

Data is extracted from Credit Sales File. In lieu or in addition, you can extract directly from CSV files and Microsoft Excel.

Section I.  Creating The Extract Instructions

We must first look at the extract instructions. Click [Special ] to show the special commands window. Then select Extract data:

The initial extraction screen is displayed. Select [Create/Modify Instructions] to view the sample:

Select instruction 4, due this quarter, and click [Modify] of the pop up window.

This is the instruction for selecting accounts. The operation 'this quarter' is relative and records selected will vary from quarter to quarter. If testing for historical data with fixed dates, you can instead use 'between date-1 and date-2'.

Click [Continue].

The selected records from Credit Sales File are shown. The invoice amount column is already selected - its heading is highlighted, in green. 

Since invoice amount has been selected, this window pops up when you click the column again:

Select [Yes] to find out which spreadsheet cell contains the total of the invoice amount column.

An image of the spreadsheet is displayed, indicating that the total is moved to Due This Quarter cell. To assign to a cell, simply click that sell. To un-assign, click it again.

Click [Back] to return to previous screen, then [Back] or [Close] all the way to AR Analysis screen.

If the extract instruction is created for the first time and a column is clicked (let's select Other Charges instead), a different window pops up:

Let's click [Subtract amounts and numbers] and [Continue]. The column is highlighted immediately with a different color and the spreadsheet image is displayed again. 

For every spreadsheet, you can have up to 200 extract instructions, each instruction extracting from 10 columns and each column posted to 10 spreadsheet cells.

If you have layers of spreadsheets, each one extracting from files and does some calculations before feeding its results to the next spreadsheet, you can have a pretty complex financial modeling system.

Section II. Extracting Data

Return to AR Analysis screen. Click [Special] and click [Extract data]:

The first extraction screen is displayed. Click [Extract] this time and wait for the process to complete.

On completion, a log is printed:

...and the results are posted to the spreadsheet:

 Next click [Compute] to calculate the turnover:

If you wish to record the analysis, click inside the record key to assign the next key:

Click [Create]. The record is created and the date of analysis is assigned.

You can create a record every week or every month. Then you can create another spreadsheet that extract data from the above and other files.
