Accounts payable I MENU

 

AP version I menu has six programs. Programs 7 to 9 are free slots that you can use to create more programs.

 

The program for recording suppliers:

Credit terms is a drop down list of the Credit Terms File.

Suburbs in another drop down list, linked to Suburbs File.

You can have up to 10 drop down lists per program.

You can add special instructions to update any of the listed files and carry out checks before writing or updating supplier records.

You can expand the screen, change colors, fonts, move the fields around and create more fields.

The colored fields are grids. They are used for showing other files at the same time.

The credit terms are recorded using this screen:

The credit terms are shown as drop down lists  by supplier and purchase screens. The discount rate, discount days and due in days are used for calculating due and past due days.

The fields in white background are entered or selected from drop down lists. The other fields are obtained from other files or calculated when records are [Created] or [Modified].

To check the special codes behind the program: (1) click the [hammer] to activate the designer, (2) click [Create], [Modify] or [Compute] button so that its details appear on designer panel, and (3) click [Command Editor]. Do not change the instructions. Close the editor and the designer.

The invoice date is obtained from a pop up window or entered in mmddyy format. The program automatically reprints dates in mmm-dd-yyyy format for clarity. You can specify the entry and print formats for amounts, numbers, dates and times.

The AP analysis screen is a user-programmable spreadsheet rather than a data entry program. The fields are spreadsheet cells that are renamed for ease of reference and moved around to come up with the required screen layout. The unused cells are deactivated and hidden from view.

The labels (This week:, Next week:) define the corresponding fields. By clicking the hammer and flipping to design mode, you will also see the field names such as Due This Week, Due Next Week. It is important to give appropriate names to fields because other programs reference fields but not labels. 

Close the designer panel to return to program execute mode.
